What is workplace efficiency?
Workplace efficiency is about getting results with the least amount of resources, such as time, energy (or effort), and even financial resources. It is relevant to achieve such success without compromising the expected quality of your work.
We all aim for efficient and productive outputs from the work we do. However, in a busy and loaded environment such as ours, achieving efficiency has become exceedingly difficult.
Nonetheless, why have others become so successful in their career and professional endeavors?
Are they doing something special to make them stand out and be noticeable?
Can anyone learn from those who made it and also make progressions?
These and several other pertinent questions run through our minds. If you already have such thoughts, you are halfway to learning self-awareness.
How can we achieve workplace productivity?
Many strategies help us achieve productivity at the workplace. One could consider factors that influence our productivity, which may be internal or external. For instance, an internal factor could be having a clear professional goal and expectations of oneself. An external factor could be providing all necessary tools and technology at the workplace that helps employees perform their tasks effectively.
This post will focus on efficiency, considering factors within our direct control. Below are nine (9) ways we can maximize our efficiency at the workplace.
1. Goals
After speaking and interacting with over 50 students and professionals from 2024 till date (April, 2025), I have learned vividly that everyone has a special goal in their career. That is also true for their professional success.
Setting a goal is not new, but why do many fail to progress? There is a common saying I would like to paraphrase here: failure to plan is planning to fail. If we plan well, then we should have our goals clearly stated.
That is, begin by setting clear, achievable goals. You can set your goals by week or by day.
This provides direction and helps you prioritize your tasks.
Ensure your goals are Specific, Measurable, Achievable, Relevant, and Time-bound (SMART). Setting a generic goal would not only be counterproductive, but it is time-wasting.

𝟮. 𝗣𝗿𝗶𝗼𝗿𝗶𝘁𝗶𝘇𝗲
Prioritization might be one of the difficult things to do to attain workplace efficiency. We have a lot to do in our daily routines, making it even harder to accomplish. However, the aim is to get things done. This is where our decision-making ability is tested.
To accomplish this, differentiate between urgent and important tasks. Use tools like the Eisenhower Decision Matrix to categorize tasks into four categories:
- Urgent and Important: Do immediately.
- Important but Not Urgent: Schedule for later.
- Urgent but Not Important: Delegate if possible.
- Neither Urgent nor Important: Eliminate if possible.

𝟯. 𝗧𝗶𝗺𝗲
We all have 24 hours each day, no matter where we live. Making productive use of time is the biggest differentiator between winners and losers. Making your time count is a skill that demands discipline and focus. Time management is crucial for your success at work in a world of many distractions.
Time is a rare asset. Your time should be managed with diligence and care to accomplish workplace productivity. Use time management techniques such as the Pomodoro Technique, where you
work for 25-minute intervals followed by a 5-minute break.
This can help maintain focus and prevent burnout.
𝟰. 𝗗𝗶𝘀𝘁𝗿𝗮𝗰𝘁𝗶𝗼𝗻𝘀
Everything around us could be a form of distraction or blessing. Our work, family, friends, social media, and even the community in which we live. Your goal is to minimize any activity that takes your complete focus and attention from what is expected of you to realize workplace productivity.
Distractions are blockers to progress. But how do you reduce distractions? First, you’ll need to know what’s taking your attention. Be aware of common distractions in your work environment. Find ways to minimize them, such as:
- Setting boundaries for social media use.
- Creating a quiet and organized workspace.
- Use noise-canceling headphones.
𝟱. 𝗕𝗿𝗲𝗮𝗸𝘀
Feeling tired is normal. But who doesn’t get tired? We all do. It is therefore important to strike a balance between continuous work and intermittent breaks. Do this by considering taking short and regular breaks.
This helps maintain your energy levels and improve your overall workplace efficiency. Try taking a short walk or practicing deep breathing exercises to rejuvenate.
Recovery is key to our success.

𝟲. 𝗢𝗿𝗴𝗮𝗻𝗶𝘇𝗲𝗱
One of the essential skills to have in the work marketplace is organization. Everything has its place and should be done in the right way.
You can keep your workspace organized to reduce time spent searching for documents or tools.
A clutter-free desk can lead to a clutter-free mind, enhancing focus and improving workplace efficiency.
It feels great when things are in the correct order.
𝟳. 𝗠𝘂𝗹𝘁𝗶𝘁𝗮𝘀𝗸𝗶𝗻𝗴
Multitasking usually sounds like hard work if someone performs more than one task at a time. However, it can lead to significant errors at work. Errors bring frustration, reduce trust, and decrease productivity.
It leads to rework, waste of time, and additional effort correcting errors or mistakes. According to the American Psychological Association (APA), multitasking increases mental overload that “can result in catastrophe.”
Focus on completing one task at a time to ensure quality and efficiency in your work.
𝟴. 𝗙𝗲𝗲𝗱𝗯𝗮𝗰𝗸
You have worked so hard over some time, but how do you know if you are actually doing the right thing? Everyone can fall victim to working hard. However, that is entirely our perception of ourselves. I have come to understand this very well, learning from many instances.
You can create a self-check on yourself, but most importantly, periodically seek feedback from colleagues and supervisors to identify areas for improvement. In case you need help, reach out.
- Reflect on your performance and aim to improve.
- Make adjustments to enhance productivity and efficiency.
- Write everything down so you can measure your efforts. Self check!

𝟵. 𝗪𝗼𝗿𝗸-𝗹𝗶𝗳𝗲 𝗯𝗮𝗹𝗮𝗻𝗰𝗲
After working long hours, weeks, and months, it is important to pause and rest with other life needs.
This is the favorite of all. Work-life balance could be achieved by completing all your tasks within working hours. If you are not done, consider shifting it to the next day unless it is critical to get it done.
A balanced lifestyle contributes to productivity at work.
Allocate time for personal activities, rest, and family to avoid burnout and maintain mental well-being.
Come back to work each day energized and focused.
